Chapter 8 · 8.2
Outlook for Windows (new and classic)
There are two versions of Outlook for Windows: the new Outlook (also included in Windows 11, replacing the Mail app) and the classic Outlook from Microsoft Office or Microsoft 365. You can recognise the new Outlook by the New Outlook toggle at the top right, and the classic version by the File menu at the top left. Below are the steps for both. The buttons and windows may differ slightly between versions, but the details you enter are always the same.
Keep the details from All settings at a glance: servers, ports and security at hand. In short:
| Setting | What do you enter? |
|---|---|
| Account type | IMAP (recommended) or POP3 |
| Incoming server (IMAP or POP3) | your domain name, for example yourdomain.com, or your package's server name, for example linux2023.webawere.nl (see All settings at a glance: servers, ports and security) |
| Outgoing server (SMTP) | the same name as the incoming server |
| IMAP port | 993, security SSL/TLS |
| POP3 port | 995, security SSL/TLS |
| SMTP port | 587, security STARTTLS (or port 465 with SSL/TLS) |
| Username (incoming and outgoing) | your full email address, for example info@yourdomain.com |
| Password | the password for this email address |
| Outgoing server authentication | on, with the same username and password (sometimes called "normal password") |
The new Outlook
- Open Outlook and go to Settings (the gear icon at the top right), then Accounts.
- Under your email accounts, choose Add account.
- Type your email address and click Continue.
- Outlook will ask what type of account it is. Choose IMAP.
- Enter your password and open the advanced settings, so you can fill in the servers yourself.
- For the incoming server, enter your domain name or server name, port 993, security SSL/TLS.
- For the outgoing server, enter the same name, port 587 with STARTTLS (or 465 with SSL/TLS).
- For both incoming and outgoing, use your full email address as the username, with the password for this address.
- Click Continue and complete the steps.
Please note: The new Outlook doesn't collect your mail directly from our server. Your account is linked to Microsoft's cloud, which retrieves and sends your mail for you. To do this, Microsoft receives your email address, your password and a copy of your mail. If you'd rather not do this, use the classic Outlook or Thunderbird instead (see Thunderbird). This is also why the new Outlook sometimes takes a while to show new mail, and why an error during setup doesn't say much about the cause.
The classic Outlook
- Open Outlook and click File, then Add account.
- Type your email address. Click Advanced Options and tick that you want to set up your account manually. Click Connect.
- Choose IMAP.
- Under Incoming mail, enter your domain name or server name, port 993, encryption method SSL/TLS.
- Under Outgoing mail, enter the same name, port 587, encryption method STARTTLS (or 465 with SSL/TLS).
- Click Next, enter the password for your email address and click Connect.
- If Outlook asks for a username, enter your full email address.
Does the classic Outlook look different for you, taking you to a window with Account Settings? Then choose a new account of the IMAP type and enter the same details there. In the outgoing server settings, turn on authentication, using the same details as the incoming server.
Changing an existing account
Have you set a new password (see Changing the password of an email address), or do you want to change the server name? In the classic Outlook, you'll find the account under File, Account Settings. In the new Outlook, under Settings and Accounts. Outlook usually asks for the new password automatically if the old one no longer works.
Frequently asked questions
Outlook keeps asking for my password.
Check that the username is your full email address. Test the password in webmail (see Opening webmail). If that works, the issue lies in Outlook's settings.
I'm getting a message about the security certificate.
Use your package's server name as the incoming and outgoing server instead (see All settings at a glance: servers, ports and security and Sending or receiving doesn't work: how to fix it).
Does Outlook automatically choose Exchange or Microsoft 365?
Your email address at WebOké is not an Exchange account. Always choose IMAP (or POP3).
